The old method calls for you to check sheets of paper or email messages to see the progress of a specific task. Though this honestly works, it could be a bit bothersome as you would need to manually go through sheets of data or browse through numerous emails before you arrive at the data you are looking for. And that’s just scrum tools for one task. For the next one you need to do the whole sifting process over again.

With the profusion of online project management software, it can be easy to get overwhelmed. There are so many choices of software programs, and numerous features to sort through. One very useful tool in some web-based project management programs is the Gantt chart app. It is basically a fancy timeline. However, it is so much more than that. Because a project is made up of other tasks that must be completed, the Gantt chart tracks each component of the project and how they overlap in the overall timeline of the project.

This may seem almost obvious, but you would be surprised at the number of people that are employed as scrum masters but really do not have a rock solid knowledge on the simple fundamentals of scrum. Unfortunately, many people today are project managers who get the “jist” of scrum or know a few practices. With that said, my first tip is to simply read and understand the scrum rules, based not only on experience and word of mouth, but on Ken Schwaber and Jeff Sutherland’s official scrum guide. I have found that most people learned scrum based on their experiences in companies, what they have read in books and what they have been told by others. This guide is the final word from the people who created the framework.

Knowing where to look for help in regards to your project management needs is an important thing. It’s something that you should find before the Agile Management Tools even begins. Manually doing all your projects can be dangerous because you simply don’t know if you got everything. This is where project management software comes in handy. It’s crucial to fully understand everything that’s going on in your project. The need to adjust along the way is common and project software helps you do just that. When you manually adjust to the changes, you could still miss important things that need to be there.

A well designed project planning system should allow users to easily create entities like projects, tasks, resources, clients and to add details – data input is a time-consuming process. Another point to keep in mind is that computed data should be always at hand and easy to follow. Navigation between any two views should not require more than a few mouse clicks. An intuitive interface is a big must: the users need to find fast what they are looking for.

P – Plan it. If something can’t be done right now, or can’t be delegated or you are waiting for an answer then put this task into the future. You can do this really well if you use a calendar or diary effectively.

By giving me the flexibility to manage tasks, delegate, update or resolve from anywhere, I could update the system and lose no time between tasks. By being able to see what I needed to do in multiple viewing styles I spent less time prioritizing and more time getting the important tasks done. Also, I could update status without effecting tasks so my clients, partners, and other needed business associates could see what I was up to without having to search through email or make a phone call.

Twelve o’clock meant naps and lunchtime for the kids, so by the time dust sheets adorned the sofa and coffee tables and all over the floor (thank goodness we’d not decided to lay a new floor as well!) the first paint didn’t hit the walls until sometime mid-afternoon.

Another good tip for deciding which tool is best for you is to look around at reliable project manager blogs, design blogs and review sites. A quick websearch for web design blog or project management blog will give you a lot of great feedback and user-based descriptions from these types of resources.

This is the time of year when we all begin preparing for a new year, a new beginning, a fresh start, yadda yadda yadda. We as humans are notorious for making New Year’s resolutions, staying dedicated to them for a good 2-3 weeks, and then finding our interest waning by the end of January.

Don’t hesitate to say no: Freelancers are generally stuck with doing it all attitudes. Don’t’ give every single task a try. Pick up those that interests and suites your proficiency level. More precisely, say no to the irrelevant work, importantly if it is going to stretch you in opposite direction.
